Order to cash automation

AR aging, bad debt provisioning input, customer statements and collections follow-up produced from your ERP on schedule, so the credit team works the accounts instead of building the report.

Who this is for. Controller, credit manager, or the receivables lead who currently pulls the weekly aging.

Pulled by hand weekly, then aging, kept live, then credit control works it. Two bars are flagged. A person signs it off.SAPInvoicesPaymentsRECEIVABLESSIGNEDChase these six.Pulled by hand weeklyAging, kept liveCredit control works it

The problem today

AR aging, bad debt analysis and customer statements are pulled out of the ERP by hand every week, reformatted, and circulated. By the time the report reaches the credit team it is already a few days old, and the oldest balances have aged further.

In SAP specifically, the reporting that exists rarely matches the cut the business wants, so the real report lives in a workbook built on top of a standard extract. That workbook becomes load-bearing, and the person who maintains it becomes a single point of failure.

What we deliver

  • Aging in the cuts your business uses

By customer, by business unit, by credit controller, by whatever dimension your credit policy is actually run on, produced from the ERP without a workbook in the middle.

  • Bad debt and provision input

The analysis your provisioning policy requires, calculated the same way every period with the policy written down and applied consistently.

  • Customer account statements

Statements generated and sent on your schedule, in your format, with the open item detail your customers will actually reconcile against.

  • Collections monitoring and follow-up

Accounts that breached terms surfaced the day it happens, with the follow-up drafted and the history of previous contact attached.

  • Short payment and deduction flags

Payments that do not match the invoice identified and categorized, so deductions are investigated rather than written off at year end.

  • One place to see the whole book

Total exposure, movement since last period and the accounts driving it, available to the controller without a request.

What agents do, and what your team approves

What the agents do

Agents extract from the ERP, build every report, generate the statements, monitor the accounts against terms and draft the follow-up correspondence.

What they never do

Statements and collections correspondence are reviewed and released by your credit team. No write-off, credit note or customer communication goes out without a named person approving it.

From past work

What we have built

We automated AR aging, bad debt analysis and customer account statement production from SAP for a manufacturer, including the dimensions the standard reporting would not produce. We have also built marketplace receivables collections monitoring for sellers carrying balances across channels.

Questions we get

Do you need direct API access to SAP?

Not necessarily, and that is often what makes this feasible. Where API access is available we use it. Where it is not, we automate through the screens and standard extracts your team already uses, which means no new integration to get approved.

Which SAP versions do you work with?

ECC and S/4HANA are both common in our work. The approach adapts to what the system exposes, so the version matters less than how your implementation was configured.

Can collectors work directly from the output?

That is the design. Each collector gets their own accounts, prioritized, with contact history and the draft follow-up ready. The report is the working list rather than a document about the working list.

What happens when a customer disputes a statement?

The statement traces back to the open items it was built from, so the dispute is answered from the record. Each statement sent is kept as issued.
