Client accounting automation

Bank, marketplace and point of sale data lands in the client ledger, agents prepare the reconciliations, and your staff review. The constraint moves from data entry to judgment.

Who this is for. The partner or director running client accounting services, and the manager who owns the monthly close across a book of clients.

A book of clients, then coded and reconciled, then your staff review. One line is highlighted for review. A person signs it off.Bank feedReceiptsPOSSIGNEDReady to review.A book of clientsCoded and reconciledYour staff review

The problem today

Bookkeeping staff spend most of the month on data entry and matching. The work is necessary, it is almost entirely rule-based, and it consumes the capacity that would otherwise go into advisory work the client would pay more for.

It also scales badly. Every new client adds a fixed amount of manual work, so growing the service line means hiring in proportion. That is why client accounting margins compress as the practice grows.

What we deliver

  • Feeds into the client ledger

Bank, card, point of sale and marketplace data arriving in the client's ledger coded and categorized, with the rules written down per client rather than held by whoever usually does that file.

  • Reconciliations prepared for review

Each client's reconciliations arrive at review already matched, with unmatched items isolated and the likely explanation attached.

  • Month-end checklists run by agents

The recurring sequence for each client runs on schedule, and the exceptions come to your staff. A client that is behind is visible on day three instead of day twenty.

  • Document chasing that does not involve your staff

Missing statements and receipts are requested from the client automatically and tracked until they arrive.

  • One view across the whole book

Which clients are on track, which are blocked and why, so the manager allocates attention rather than discovering problems.

What agents do, and what your team approves

What the agents do

Agents import and code transactions, perform the matching, chase missing documents, run the checklists and prepare each client's file for review.

What they never do

Your staff still review and sign every client's books. The work that moves to agents is preparation, and every proposed coding decision is visible and reversible.

From past work

What we have built

We have automated marketplace invoice retrieval and point of sale to general ledger posting for firm clients, including the cases where the marketplace changes its format without warning.

Questions we get

Which client ledgers do you support?

QuickBooks Online covers most firm books and is where we do most of this work. Desktop and other ledgers are workable and we will tell you honestly if a particular one makes the automation fragile.

Does our staff still review?

Yes, on every client, every period. This changes what your staff spend their time on rather than whether a professional looks at the file.

Can it scale across hundreds of clients?

That is where it pays. The rules are per client but the process is shared, so the hundredth client costs a fraction of what the first one did. The practical limit becomes review capacity, which is the constraint you want to have.

What happens when a bank or marketplace changes its format?

It breaks, we see it break because the exception is flagged rather than silently swallowed, and we fix it. Pretending this does not happen is how automation loses a firm's trust.
